Job description

We are looking for a highly organised and hands-on Office & IT Manager to oversee the day to day running of our London office and companywide internal systems. This is a varied role which requires someone who can adapt easily and thrive in a fast-paced environment. We require a good communicator who has the ability to build relationships, and foster trust and reliability. The successful candidate will also play an integral role in our upcoming office move in 2026, ensuring a smooth transition with minimal disruption to business operations.

KEY ACCOUNTABILITIES INCLUDE:

Office Management

  • Responsible for managing office contracts, proactively managing our third-party suppliers to ensure operation and cost efficiency.
  • Main point of contact for the building management of the London office to maintain the condition of the office and co-ordinating repairs and services.
  • Responsible for the employee experience, coordinating employee onboarding and offboarding with HR and setting up accounts, hardware and access.
  • Be the first point of contact for all guests and visitors, always ensuring a professional and welcoming experience.
  • Ensure meeting rooms and guest facilities are tidy, prepared and fully stocked with necessary supplies ahead of bookings – including coordination of refreshments and AV support where needed.
  • Maintaining a clean and secure office space to ensure positive guest and employee experience. 
  • Manage the office budget, including tracking expenses, forecasting costs, processing invoices, and identifying opportunities for cost savings across office operations and supplies.
  • Liaise and maintain a positive working relationship with our Manchester office. This involves collaborating and providing ad-hoc support for office matters.
  • Collaborate with the EA & Operations Manager and Senior Operations & Project Manager on internal events.
  • Act as designated First Aider and Fire Warden, supporting safe work practices in line with health and safety policies. Ensuring these are reviewed, updated and observed.
  • Provide cover for the EA & Operations Manager when on leave covering their relevant responsibilities including post, phone and senior leader diary management.
  • Support and play a key role in the London office relocation including liaising with third party suppliers, logistics and ensuring minimal disruption to business operations.
  • Collaborate with Operations Management team to support and maintain office culture – supporting initiatives that foster team engagement, collaboration and wellbeing.

IT Management

No technical experience is required as we have an external IT provider in place. This role requires an understanding of IT concepts and strong coordination skills

  • First point of contact for employee IT support when in the office.
  • Responsible for the procurement and inventory of all IT equipment (computers, monitors, mobiles, printer etc.) Maintaining the fixed asset register.
  • Liaise with external IT support company and other third-party vendors to escalate issues.
  • Led IT inductions for new starters providing an overview of existing systems, cybersecurity and hardware.
  • Assisting Senior Operations Manager with the employee cybersecurity awareness programme.
  • Manage licences and user access across the Microsoft environment and conducting a quarterly audit of this access.
  • Ensuring staff compliance with IT policies such as data security and AI usage.
  • Support the Senior Operations Manager to identify, recommend and implement IT and Data improvements. Assist in the roll out and training of these improvements.

Qualifications and experience:

  • 2 – 3 years of relevant experience across office management
  • Exposure to client-facing or front-of-house responsibilities, ideally within professional services or corporate environment.
  • Familiarity working with a high-performing, fast-paced environment where priorities shift quickly.
